Ask any agency manager what eats the most time in their day. The answer is rarely logistics — it is the phone.
Thirty, forty calls a day, nearly all identical: “hello, has my parcel arrived?” Each call costs two or three minutes, interrupts whatever was in progress, and often ends with “call back tomorrow”.
The call is not the problem
Customers do not call because they are impatient. They call because they have no other way of knowing. They handed a parcel to someone — often valuable, usually for family — and they get no signal at all between drop-off and collection.

It is tempting to notify the customer at every step: departure, border, arrival in the city, ready for pickup. That is a mistake. Too many messages get ignored just as fast as a single well-placed one gets read.
The decisive moment is the one where the customer can act: the parcel has arrived and is ready to collect. One message, at that exact point, with three pieces of information:
- which parcel, and its reference,
- which agency to collect it from,
- the pickup hours.
Why WhatsApp rather than SMS
On the France ⇄ Morocco corridor, WhatsApp is the default channel on both sides. The message lands in the conversation the family already uses, it gets read, and it can be forwarded to the relative who will collect the parcel on the recipient’s behalf — an extremely common case.
An SMS, by contrast, gets buried between two banking alerts.
The measurable effect
Agencies that switch this notification on describe the same sequence within a few weeks:
- Inbound call volume drops sharply, with no extra effort from the team.
- Parcels are collected faster, which frees up space in the warehouse.
- The remaining calls become real topics: wrong address, delay, dispute — the cases that deserve a conversation.
That last point is the one that matters. The goal is not to cut contact with your customers: it is to save your time for the situations that need it.
What it requires on your side
An automatic notification is only as good as the status that triggers it. That takes two simple things:
- a correct phone number captured when the parcel is recorded,
- a receive scan performed on arrival, every single time.
Those two actions take a few seconds. They replace half a day on the phone every week. It is one of the best effort-to-result ratios in the whole running of an agency.
